Executive - Customer Service

Job Title

Is responsible for managing export documentation, coordinating logistics and freight forwarding activities, ensuring compliance with international trade regulations, and maintaining effective communication with customers, forwarders, and internal teams to ensure timely and accurate dispatch of goods.

• Issue Proforma Invoices to customers including freight and other charges for advance payment terms.

• Maintain and update the Dispatch Tracker with country-specific requirements, certifications, and Incoterms.

• Communicate order and shipment readiness status to customers and regional teams.

• Coordinate pre-shipment inspections with SGS and other third-party inspection companies.

• Review and approve Letter of Credit drafts for orders requiring LC payment terms.

• Coordinate freight forwarding arrangements with customers, regional sales teams, and forwarders, including FCA, CPT, FOB, CIP, and DDP Incoterms.

• Obtain customer confirmations on freight charges by sourcing and reviewing freight quotes.

• Raise Delivery Notes and Invoices in SAP and coordinate timely dispatch with the stores team.

• Coordinate with forwarders to confirm shipping documents (Shipping Bills, Bills of Lading, etc.).

• Ensure timely dispatch of original shipping documents per country-specific requirements, sharing tracking details within defined turnaround times.

• Upload shipping documents on bank portals and company SharePoint for record-keeping and bank submissions.

• Collaborate with Finance for GR waivers on FOC and warranty sales orders, and process third-party freight invoices for payment.

• Resolve discrepancies in pre- and post-shipment documentation.

• Track shipment status, address queries promptly, and provide shipment updates.

• Ensure compliance with international trade laws, internal policies, and proper documentation standards.

Total Experience in years: 3-5

Graduation/ Degree: Bachelor's degree in business administration, Logistics, Supply Chain Management, International Trade, or related field.

Post-Graduation/ PGDM: Not Required
