Customer Service Specialist

This position performs a variety of well-defined clerical, fiscal, and accounting support duties within the Treasurer's Office. Work includes processing payments for taxes, utility accounts, DMV Select services, dog tags, and other miscellaneous revenues. The employee is responsible for accurately balancing daily receipts, researching account inquiries, preparing routine correspondence, and ensuring strict confidentiality of all taxpayer information. The role requires strong customer service skills, the ability to resolve issues in a calm and helpful manner, and a commitment to supporting co-workers and the Treasurer in daily operations. This position reports directly to the Treasurer.

Typical tasks include:

  • Greeting and assisting customers in person and by telephone with professionalism and courtesy.
  • Maintaining strict confidentiality of taxpayer information in accordance with VA State Code 58.1-3.
  • Receiving, verifying, and processing all revenues in the office's computer systems.
  • Assisting with internal and external collection efforts.
  • Researching accounts and preparing accurate written correspondence as needed.
  • Performing filing, data entry, and other administrative tasks to support office workflow.

Knowledge, skills, and abilities include:

  • Working knowledge of computers and common office equipment, including calculators, fax machines, postage machines, and copiers.
  • Basic to intermediate computer skills, including the ability to navigate multiple software systems, learn new programs quickly, and accurately enter and retrieve data.
  • Ability to perform mathematical calculations with accuracy and reasonable speed.
  • Strong communication and customer service skills, including the ability to calmly and effectively assist taxpayers and resolve concerns.
  • Ability to learn office procedures, follow detailed instructions, and maintain accuracy in all work.
  • Ability to work independently and as part of a small team in a fast-paced environment.

Education and experience: High school, vocational, or business school diploma required; or an equivalent combination of training and experience that provides.
