Project Coordinator
As an integrated part of the department, this position assists the Department team in implementing and tracking of specific short-term/long-term projects and provides administrative support. This position supports the department by assisting the team with the coordination, implementation, and monitoring of both short-term and long-term projects. It also provides administrative support for the lung cancer screening program and the interventional pulmonary clinic within the Center for Advanced Lung Disease.
Essential Duties:
- Effectively communicates with the Department Team relaying information that may require their follow up or input ensuring all deadlines are met
- Prioritizes workload to meet pre-determined deadlines, determine urgency of workload and forward completed product to the appropriate level intra or interdepartmentally.
- Analyzes lung cancer screening and nodule clinic workflows to identify opportunities for improvement.
- Coordinate with Pre-Arrival team to submit authorizations and pre-certifications for clinic visits, diagnostic tests, and procedures.
- Verify authorizations and pre-certifications on file in advance of clinic visits and diagnostic test.
- Upload imaging as needed into Synapse.
- Input external referrals into Ambulatory Referral Management system.
- Schedule consults or follow up appointments as needed.
- Assist with administrative chart prep as needed.
- Complete telemedicine check-ins and co-pay collection.
- Cover Interventional Pulmonary and DME Office Coordinator as needed.
- Computer Skills - Use of MS office and data entry into computerized databases.
- Customer Service - Responds to requests for data from multiple areas by communicating to the next level for approval
- Attends staff/committee meetings as assigned. Prepares Department leadership with data for review prior to meeting and with any necessary follow up after the meetings.
- Must be able to enter information and proof the information prior to the deadline to ensure data accuracy before any transmittals to leadership or external sources.
- Provides training to other staff members as requested.
- Provides regular updates to Department leadership throughout the duration of projects to ensure deadlines will be met and any issues are identified.
- Demonstrates accuracy and thoroughness in entering information into the Computer systems.
- Adheres to protecting patient confidentiality.
- Performs other duties and projects as assigned.
Required Qualifications:
- Req High school or equivalent
- Req 1 year Project related experience.
- Req Excellent working knowledge of acute care demographics, clinical data elements, statistical analysis and data entry.
- Req Excellent skills in use of personal computer software programs including but not limited to MS Word, PowerPoint, and Excel.
- Req Must be detail oriented.
- Req Must be well-organized and work independently with minimal direction.
- Req Organization/time management skills.
- Req Must have excellent communication skills to facilitate patient outreach and interoffice care coordination.
Preferred Qualifications:
- Pref 1 year Customer service experience.
Required Licenses/Certifications:
- Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)
The hourly rate range for this position is $29.00 - $45.20.
