Installation And Training Scheduling Coordinator

The Installation and Training Scheduling Coordinator organizes and manages the scheduling of installations and training sessions for our products and services. This role requires excellent organizational, communication, and problem-solving skills to ensure that installations and training sessions are scheduled efficiently and meet the needs of both the company and its clients.

Responsibilities:

  • Plan and coordinate installation and training schedules for clients
  • Communicate with clients to confirm availability and requirements
  • Work closely with the installation and training teams to ensure all schedules are met
  • Serve as the primary point of contact for clients regarding scheduling inquiries and adjustments
  • Provide timely updates and confirmations to clients on scheduled installations and training sessions.
  • Address and resolve any scheduling conflicts or issues that arise. Prepare and provide service quotes to clients.
  • Collaborate with internal teams, including warehouse, sales operations, sales, customer support, and technical staff, to align schedules with project timelines and client needs
  • Ensure that all team members are informed of their schedules and any changes promptly
  • Maintain accurate records of all scheduled installations and training sessions.
  • Prepare and distribute scheduling reports to relevant stakeholders.
  • Track and report on scheduling metrics and performance.
  • Identify opportunities to improve the scheduling process to enhance efficiency and client satisfaction.
  • Implement and support the development of scheduling tools and systems.

Job Requirements:

  • Associate's degree preferred
  • 3 - 5 years of scheduling / dispatch experience
  • Strong organizational and time management skills.
  • Bilingual in English and French- Fluency required
  • Excellent verbal and written communication skills.
  • Proficiency in scheduling software and Microsoft Office Suite (Excel, Word, Outlook). Salesforce/Servicemax knowledge is a plus.
  • Ability to multitask and handle multiple priorities in a fast-paced environment.
  • Problem-solving skills with a focus on customer satisfaction.
  • Detail-oriented with a high level of accuracy.
  • Proactive and able to work independently as well as part of a team.
  • Adaptable and able to handle changing priorities with a positive attitude.

Working Conditions:

This role can be onsite or remote and based out of our headquarters in Oakland, NJ. Occasional requirements to work extended hours.

Base Pay:

Expected Base Pay Range: $25.00 to $30.00 Hourly. The base pay range included is a projected hiring range for a position, level and potential work location(s) listed. Topcon provides the compensation range that it in good faith believes it might pay and/or offer for this position. This compensation range is based on a full-time schedule.
