As an Assistant, you will play a key role in supporting the tribe leads and their teams within the customer operations circle, specifically those of the sales tribe and the service tribe.

Your responsibilities as an Assistant include:

  • Providing seamless support to our leadership team by proactively managing the agendas of the assigned tribe leads, prioritizing planned, unexpected, and recurring meetings, and then correctly booking everything.
  • Supporting the entire tribe on an organizational level: planning team events, organizing and coordinating meetings and events. You will also assist with logistics such as booking meetings, reservations/meeting rooms, ensuring availability of materials, catering.
  • Acting as the primary contact point for internal and external stakeholders, ensuring timely, professional communication and fostering smooth collaboration between teams.
  • Welcoming visitors warmly and providing high-quality service.
  • Handling confidential information with absolute discretion and ensuring strict adherence to the organization's policies and governance standards.
  • Accurately managing administrative processes, including purchase requests, expense recording, and travel arrangements for flights, accommodations, and travel plans.
  • Actively collaborating with the team of assistants and providing reliable administrative support to the entire Customer Operations Circle to maintain efficient workflows.

Our ideal Executive Assistant:

  • Bachelor-level thinking.
  • Minimum 3 years of experience as an Assistant in a corporate environment.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills in Dutch and French; knowledge of English is a plus.
  • High level of integrity and the ability to handle sensitive information confidentially and discreetly.
  • Strong expertise in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint) combined with the ability to efficiently and accurately operate company-specific systems and digital tools.
  • Flexible and adaptable, able to distinguish between main and secondary tasks since you must be able to multitask and prioritize under pressure.
