Project Management Assistant

Assists Project Management by performing the following duties:

Enter and maintain non-product and product sales orders.

Provide completed Sales orders, Purchase orders, and quotes to Finance for invoicing.

Create and maintain a rolling non-product forecast.

Support new Project On-boarding by:

  • Working with the Inside Sales Team to ensure non-product pricing is accurately captured.
  • Requesting Project Numbers.
  • Entering non-product sales orders following onboarding.
  • Following up weekly on orders that still require purchase orders.
  • Notifying Sales when sales orders that do not have purchase orders reach 30 days of aging.
  • Working closely with Project Management, Design, Finance, and Account Managers.
  • Creating and maintaining positive working relationships with above groups.
  • Taking meeting minutes and utilizing approved templates.
  • Uploading documents to SharePoint.
  • Packing and shipping samples.
  • Assisting project managers in routing documents and collecting approvals.
  • Filing and maintaining records.
  • Organizing Luncheons for Customers.
  • Working on special projects as assigned.

Education and/or Experience:

Associate's degree (B. S.) from two-year or four-year college or university; or at least three to five years of related and documented experience and/or training in a related area; or equivalent combination of education and experience.

Language Skills:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills:

Ability to add and subtract two digit numbers and to multiply and divide with 10s and 100s. Ability to perform these operations using units of American money and weight measurement, volume, and distance. Ability to apply concepts such as fractions, percentages, ratio and proportions to practical situations.

Reasoning Ability:

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills:

Proficient using Microsoft Office Suite, including Word and Excel. Familiar with ERP systems.
