Here is what you will be doing:
The Senior Project Coordinator will ensure that goals and objectives specified for the project or program are accomplished in accordance with Ontario Health's established priorities, time limitations, funding limitations or other specifications. The Senior Project Coordinator will support project managers in the successful delivery of Ontario Health projects, ensuring strong project communication, documentation and reporting throughout the project lifecycle. Where required, will act as backup to a project manager and/or manage some work packages within the project.
Here is what you will need to be successful:
- Develops and manages comprehensive project documentation, including agendas, minutes, charters, logs (action, issue, risk, decision), integrated plans, lessons learned, and close-out reports to ensure structured and traceable project execution.
- Proactively monitors team commitments, identifies risks and issues early, and ensures timely follow-up to maintain accountability and mitigate potential project disruptions.
- Prepares and tracks technical change requests (RFCs), monitors their execution, and issues project change requests (PCRs) when scope, schedule, or budget adjustments are required to support successful project delivery.
- Supports project leadership by helping manage scope, timelines, and budgets, and contributes to detailed planning by identifying and engaging subject matter experts aligned with business objectives.
- Facilitates effective communication across the team, ensures resources and tools are accessible, leads focused meetings, and keeps discussions aligned with project goals.
- Acts as a reliable backup to the Project Manager, leads specific work packages, and promotes team success by suggesting performance improvement strategies and supporting individual contributions.
- Builds strong relationships with internal and external stakeholders, fosters trust and collaboration, and cultivates a team culture centered on shared goals and mutual respect.
- Demonstrates commitment to continuous learning and professional development, maintains certifications, and applies acquired knowledge to enhance project outcomes—contributing positively to healthcare delivery in the province.
Education and Experience:
- College diploma or university degree in a related field.
- 3 – 5 years of experience in providing project coordination services and managing small projects, preferably in a project management environment.
- Good working knowledge of Project Management methodologies such as Waterfall and Agile.
- Good working knowledge of Software Development Life Cycles.
- Demonstrated knowledge of project cost accounting principles and practices and managing project budgets.
- IT Infrastructure and ITIL experience is an asset.
- Knowledge/expertise of current technology trends is an asset.
- Knowledge/experience in release management is an asset.
- Familiarity with legislation applicable to healthcare organizations such as PHIPA is an asset.
- Experience in procurement process and vendor management is an asset.
- Technical knowledge/expertise gained through work experience as a developer or business analyst is an asset.
- Understanding of Ontario Health business goals and mandate and how it applies to the provincial health care system is an asset.
Knowledge and Skills:
- Strong communication and presentation skills to create clear content for artifacts, prepare project charters/plans, elicit information from subject matter experts, and lead meetings.
- Expertise in Microsoft suite such as Microsoft Office Suite, Microsoft Project, Visio and SharePoint, and other productivity tools such as Jira, Confluence, Remedy.
- Demonstrates strong communication skills by ensuring team members are consistently informed and equipped with the information they need to perform effectively, fostering transparency and alignment across the project.
- Exhibits excellent negotiation and conflict resolution abilities, tactfully managing team-level disagreements and adjusting behavior based on interpersonal dynamics to maintain a collaborative environment.
- Effectively facilitates meetings by keeping discussions focused and goal-oriented, ensuring productive outcomes and alignment with project objectives.
- Provides reliable support to the Project Manager by stepping in as a backup or managing specific work packages, contributing to seamless project continuity and execution.
- Shows emotional intelligence and adaptability by recognizing the impact of personal behavior on others and adjusting approach to maintain positive working relationships.
- Understands the strategic value of project work, connecting day-to-day tasks to broader business goals and demonstrating awareness of how individual contributions support organizational success.
- Makes sound decisions with moderate impact, applying practical judgment to resolve issues efficiently and implement corrective actions when needed.
- Applies well-developed analytical skills and attention to detail to create structured work streams and manage scope, timelines, and budgets—ensuring delivery aligns with business expectations and project goals.
