IM Project Coordinator
The Project Coordinator coordinates and tracks activities that support Incoming Materials readiness for the Marietta Drug Substance project team. The role works closely with the Drug Substance Project Strategy and Program Manager and provides day-to-day organizational support to the Supply Chain and Incoming Materials workstream lead and partners across Supply Chain, Quality, Warehouse, MSAT, QC, and other site and global functions. This position focuses on maintaining schedules, project trackers, action logs, and documentation required to support timely execution of Incoming Materials activities. The role also helps organize and facilitate meetings, identify priorities and risks, and escalate and resolve issues in a timely manner to support manufacturing start-up. As part of Incoming Materials oversight, the Project Coordinator supports the new incoming material introduction and qualification lifecycle by coordinating cross-functional inputs (e.g., supplier documentation, specifications, material master data readiness, sampling/testing, and QA disposition) and tracking progress to readiness milestones. The Project Coordinator supports prioritization and execution of Incoming Materials deliverables by preparing meeting materials, capturing decisions and actions, monitoring progress, escalating risks and issues to the appropriate owners, and ensuring stakeholders have clear visibility of status and next steps. The Project Coordinator is expected to follow and apply applicable project management practices and site ways of working. Maintain the Incoming Materials integrated schedule, incoming materials tracker (focused on raw materials and production supplies), and action tracker (sequenced tasks, owners, dependencies, due dates), and provide routine status updates to the workstream lead, Strategy and Program Manager and project team.
- Coordinate meeting cadence for Incoming Materials (core team, extended stakeholders, governance as needed): schedule meetings, publish agendas, prepare and circulate pre-reads, capture minutes/actions/decisions, and follow up on commitments
- Support Incoming Materials process readiness deliverables such as receiving and inspection workflows, material master data readiness, supplier documentation tracking, sampling/testing coordination, and release/dispense readiness by coordinating inputs across functions
- Maintain logs and trackers (risks, issues, decisions, dependencies) for the Incoming Materials workstream; ensure owners are assigned, due dates are current, and items are escalated when timelines or compliance may be impacted
- Create and maintain a controlled repository for Incoming Materials project documentation (e.g., SOP/work instruction drafts, procedures, training evidence, qualification/validation support documents, vendor documentation), aligned to site expectations
- Prepare dashboards and routine reporting (e.g., milestone status, open actions, on-time delivery, readiness KPIs) using agreed tools (Excel, SharePoint, MS Project Online/Planner, Power BI as available)
- Coordinate cross-functional touchpoints with Supply Chain, Warehouse/Receiving, Quality (QA/QC), MSAT, and external parties as needed to ensure alignment on scope, priorities, and execution
- Support change control and scope updates by collecting inputs, tracking impacts to schedule and deliverables, and ensuring communications are sent to stakeholders
- Complete required training by assigned due dates in alignment with the MyLearning plan and CLIENT representative
Requirements
- Minimum of 3–5 years' experience as a project coordinator (or similar) supporting cross-functional teams in a regulated manufacturing, supply chain, or engineering environment
- Experience coordinating Incoming Materials / materials management activities (receiving, inspection, warehousing, sampling/testing coordination, vendor documentation, material master data readiness, or similar)
- Working knowledge of GMP concepts and strong discipline with documentation practices; prior pharmaceutical/biopharmaceutical experience preferred
- Experience working cross-functionally across departments and with regional and global teams
- Strong proficiency in Excel, including trackers, pivot tables, and basic data analysis
- Ability to build and maintain schedules and action logs using agreed tools (MS Project Online/Project for the web, Planner, Smartsheet or equivalent)
- Strong competency with document repositories and controlled documentation (e.g., SharePoint)
- Understanding of the end-to-end Incoming Materials process and key interfaces (Receiving/Warehouse, QC sampling/testing, QA release, Supply Chain planning), including new incoming material introduction and qualification (e.g., supplier onboarding documentation, specifications, material master data, sampling plans, test methods, and disposition workflow)
- Strong organizational, planning, and coordination skills with the ability to operate effectively in a multicultural, matrix organization
- Clear written communication skills (minutes, action summaries, status reports) and comfort communicating with varied stakeholder levels
- Proficiency in English
- Preferable experience with Power BI and/or Power Apps
- Associate or bachelor's degree (business, supply chain, engineering, science) or equivalent relevant experience
- Project coordination / project management training or certification (e.g., CAPM, PRINCE2 Foundation, equivalent) desirable
- Supply chain / materials certifications (e.g., APICS CPIM/CSCP) desirable
- GMP knowledge preferred
- Strong presentation and communication skills are a must
