Client Service Administrator

This position provides administrative support to Flint Hills Group. The Client Service Administrator is the primary point of contact for clients, ensuring smooth scheduling and exceptional service. This role focuses on proactive communication, appointment management, and preparing clients for successful meetings. The Client Service Administrator reports to and is employed by Flint Hills Group. This position is part-time (20-25 hours a week), compensation is $18-21/hr dependent upon experience.

Position Roles/Responsibilities/Accountabilities

  • Client Scheduling & Communication
  • Manage appointment scheduling in Salesforce, prioritizing A/B/C clients and special call lists.
  • Outbound calls to current clients and warm prospects.
  • Execute structured call campaigns for birthdays and focus projects.
  • Confirm appointments, send meeting details, and maintain client folders.
  • Meeting Preparation
  • Prepare digital, documents to sign, and printed packets (Household Profile, TCP, Choice Dollars, illustrations, tax worksheets).
  • Client Service Support
  • Answer phones professionally, document calls, and schedule meetings.
  • Assist clients with DocuSign processes and provide guidance on accessing documents.
  • Relationship Management
  • Recognize birthdays and anniversaries, send cards, and maintain client engagement

Position Qualifications

  • Strong interpersonal and communication skills
  • Highly organized and detail-oriented.
  • Enjoys engaging with people on the phone and in person.
  • Bachelors degree or associates degree preferred.
  • Previous administrative/secretarial experience desired
  • Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint) and proficiency in Salesforce and Docusign preferred
  • Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions
  • Ability to maintain integrity of sensitive/confidential information
