Project Coordinator
This role provides critical administrative support to a Learning & Development (L&D) team, ensuring smooth execution of projects and meetings. You will manage scheduling, note-taking, and agenda preparation while building presentations that communicate key insights effectively. The position requires a highly organized individual who can coordinate multiple priorities, track action items, and maintain up-to-date project schedules. You will work closely with cross-functional teams and stakeholders, supporting both daily operations and long-term program initiatives. The ideal candidate is detail-oriented, proactive, and thrives in a collaborative environment where clear communication and accuracy are essential. This role offers exposure to creative workflows, L&D processes, and large-scale multi-year programs, providing opportunities to make a meaningful impact.
Accountabilities:
- Schedule and coordinate meetings, ensuring availability of all relevant participants.
- Prepare agendas based on project priorities and distribute them ahead of meetings.
- Document meeting discussions and decisions, creating detailed recap notes for stakeholders.
- Track and follow up on action items and deliverables to ensure timely completion.
- Maintain and update project schedules, communicating changes to team members as needed.
- Build presentations and materials to support L&D initiatives and client interactions.
- Provide additional administrative support to facilitate efficient team operations.
Requirements:
- 2+ years of experience in a project coordination or administrative support role.
- Exceptional verbal, written, and presentation skills.
- Proficiency in scheduling software (experience with SmartSheets preferred).
- Strong organizational skills with the ability to manage multiple priorities independently.
- Advanced knowledge of Google Docs, Sheets, and other productivity tools.
- Familiarity with L&D workflows and creative processes is a plus.
- Experience supporting large-scale, multi-year programs in an L&D environment is desirable.
- Self-starter with strong initiative and ability to work effectively both independently and within a team.
