Description

SUMMARY: The Assistant Bond Account Manager is primarily responsible for assisting clients, and other members of the department, with meeting their bond servicing needs, including issuance, invoicing, maintaining data, coordination with surety carriers, follow-up, and execution of bonds. This position will provide assistance to Producers, Account Executives, or Account Managers for new and existing bond businesses, as well as maintain high service standards.

ESSENTIAL FUNCTIONS:

  • Provide prompt, courteous, and knowledgeable service to bond and commercial lines customers, producers, assigned AE/AMs, and prospects, keeping internal customers apprised of critical information or any issues that may arise.
  • Solicit Producer/Account Executive assistance, as needed, to issue bonds in a timely, efficient manner, and within Agency underwriting authority.
  • Upon receipt of a Bond request, prepare the appropriate form, powers, and seal and follow up to ensure timely receipt for immediate delivery.
  • Monitor Bid bond results and close activity, maintain a record of over/under charges, expiration control log, and financials, in a safe and secure manner.
  • Perform all necessary ratings sufficient for policy or bond quotation and/or issuance on carrier websites or rating programs and calculate the premium, if the company-rating program is available.
  • Responsible for the issuance of premium-bearing binders, and invoices, and resolving carrier accounting discrepancies.
  • Monitor new, and renewal, bond notices, endorsements, and cancellations and promptly process for accuracy in rating, typing, coverage, and signatures and enter these transactions to generate billing invoices and quality products for our clients
  • Maintain physical and electronic files in an accurate, orderly, and up-to-date manner.
  • Maintain bond file cabinet, with appropriate powers, assigned bond numbers, and seals, and order appropriate replacement documentation, as needed.
  • Refer current, and prospective, clients to the Employee Benefits and Personal Lines departments, for potential cross-sale of those lines of business.
  • Participate in seminars, and other training, to maintain required licenses, and for knowledge and skill development.
  • Review all activities relating to the public, customers, and companies, to avoid issues involving potential errors and omissions.
  • Develops and maintains a thorough understanding of the client's business and industry.
  • Completion of assignments in a timely manner and in conformity with Bond Department Service Standards
  • Assist clients with contract document review as it applies to bonding requirements and issues of concern to surety companies

Qualifications

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent time management and decision-making skills
  • Basic PC skills including MS Office Excel, Word, Outlook, PowerPoint, etc.
  • General understanding of business operations including, but not limited to, accounting, financial, (i.e. banking or other financial position), and/or understanding of sales & service organizations
  • Excellent organizational skills, with strong attention to detail
  • Ability to work within a fast-paced, changing priority environment
  • Self-motivated, with the initiative to prioritize and be self-directed
  • Regular and punctual attendance is required
  • Ability to communicate effectively, both verbally, in writing, and across all levels

QUALIFICATIONS:

  • Associate, or equivalent, degree preferred
  • Previous commercial insurance experience preferred
  • Possess (or quickly obtain) a Resident Insurance Agent/Producer license, for Oklahoma Property and Casualty, preferred

WORKING CONDITIONS AND REASONABLE ACCOMMODATIONS:

  • Fast-paced, multi-tasking, office environment with periodic high disruption and changing priorities
  • Ability to perform approximately 80% sedentary work, exerting up to 10 pounds of force occasionally, and negligible force frequently
  • Ability to lift up to 20 pounds occasionally
  • Requires operation of a computer workstation, including keyboard and video display
