Assisting with project delivery and administration of multiple installation projects throughout their life cycle. Working with multiple Project Managers to ensure project delivery meets clients' expectations and the project is completed on time and within budget. Administering project setup in financial system, project management application. Acting as central information source by maintaining, communicating, and distributing project details in conjunction with company and client requirements. Following up daily with project team members on uncompleted tasks and open issue logs. Documenting actions in project management application. Updating project status with client on a regular basis. Researching, compiling, processing and coordinating project data e.g. data entry, report generation, metrics collection. Using the financial system to monitor budget, actual project cost and cost commitments. Coordinating with other business areas such as Sales, Service, and Safety relating to project activities. Organizing, administering, and maintaining electronic, and hard copy filing systems in accordance with Convergint's record retention policies and procedures, including regular review of project files/folder structure and contents, archiving and preparation for project team use. Preparing Purchase Orders for project materials and coordinating orders with purchasing department. Working with Warehouse, Project Managers, Field Supervisors and Engineering for active tracking of material orders, delivery dates, and reconciliation of project material in warehouse. Preparing project invoices and working with the Project Managers and Accounts Receivable team with analysis and tracking of client invoices. Assisting with project closeout documentation and project turnover to Service team for warranty and post-installation support. Performing other duties and responsibilities as requested or required.
Strong ability to work independently and as a team member. Excellent verbal, written and interpersonal communication skills and ability to deal with a wide cross section of people both internal and external to the business. Strong attention to detail. Service skills and awareness for customer care/satisfaction. Strong computer skills - Word / Excel. Excellent organizational skills and the ability to handle multiple projects simultaneously within tight deadlines. Shows initiative engages in proactive behavior and looks for opportunities. Strong analytical skills necessary to resolve problems and look for solution. Strong financial analytical skills including cost control. Strong ability to facilitate a collaborative working environment for customers and team members.
