Job Description

Title: IT Project Coordinator

Reports To: IT Operations Manager

Summary of Position:

The IT Project Coordinator supports the successful execution of IT projects by assisting with planning, scheduling, resource coordination, and communication. Working closely with the IT Operations Manager, project teams, and stakeholders, the IT Project Coordinator ensures project activities are organized, tracked, and documented, contributing to the smooth delivery of IT services and solutions.

Accountabilities:

  • Assist in coordinating all phases of IT projects from initiation to completion.
  • Support the IT Operations Manager in defining project scope, goals, and deliverables.
  • Help develop and maintain project schedules, timelines, and milestones.
  • Track project progress, dependencies, and key deliverables, reporting updates to the IT Operations Manager.
  • Facilitate effective communication between project and service teams, following the HUB Internal Communication Protocol, client stakeholders, and third-party vendors.
  • Organize and maintain project documentation, including reports, proposals, and presentations.
  • Assist with resource allocation and scheduling, ensuring team members are informed of their responsibilities.
  • Monitor and update project plans, identifying and escalating issues or risks as needed.
  • Support budget tracking and expense reporting for projects by entering accurate data in the project tracking spreadsheets using the existing templates.
  • Coordinate meetings, prepare agendas, and document minutes and action items.
  • Issue invoices for projects at least two business days after the 15th and the last day of the month.
  • Ensure accurate data entry in HUB's Professional Service Automation software (ConnectWise) for project records.
  • Maintain a clean and organized workspace, supporting project execution and collaboration.
  • Uphold HUB's timekeeping, attendance policies, and Employee Code of Conduct.

Qualifications:

  • Education: College diploma or university degree in Computer Science, Information Technology, or a related field, or equivalent practical experience.
  • Experience: 1-3 years of experience in project coordination, administration, or a related IT support role.
  • Technical Skills: Familiarity with project management tools (e.g., Microsoft Project) and office software (e.g., Microsoft Office, Visio).
  • Organizational Skills: Strong ability to prioritize, multitask, and manage time effectively in a fast-paced environment.
  • Communication: Excellent written and verbal communication skills; able to interact professionally with diverse teams and stakeholders.
  • Attention to Detail: High level of accuracy in documentation and reporting.
  • Problem-Solving: Analytical mindset with the ability to identify issues and propose solutions.
  • Teamwork: Collaborative approach, able to work effectively within a team and support others.
  • Client Service: Experience or aptitude for customer service is an asset.
  • Licensing: Valid Manitoba Class 5F Driver's License and access to a vehicle for company use.
  • Work Authorization: Legal entitlement to work in Canada.
  • Language Skills: Fluent in English, both spoken and written.

Performance Evaluation:

Performance evaluations will be conducted at least every 90 days, and the company will assess potential adjustments to salary or compensation at its discretion.
