Project Coordinator

A leading utility organization is seeking a Project Coordinator to support Demand Side Management (DSM) programs within the Energy Efficiency and Demand Response portfolio. This role focuses on high‐volume operational processing and program administration for regulated rebate and incentive programs. Accuracy and attention to detail are critical, as program activities are governed by public utility regulations. The Project Coordinator supports multiple residential programs with responsibilities that shift based on seasonality and program volume. This is a primarily remote role with limited in‐office presence.

Responsibilities

  • Process high‐volume rebate applications and work orders across residential DSM programs
  • Support programs such as smart device incentives, residential load management, and limited commercial participation
  • Validate customer eligibility, equipment qualifications, and incentive amounts
  • Work from shared system queues, prioritizing oldest items first
  • Review applications submitted digitally, via PDF, and through physical mail
  • Coordinate with third‐party vendors using internal systems, email, and chat
  • Monitor program progress, quotas, and backlogs using system dashboards
  • Collaborate daily with team members to meet accuracy, volume, and performance targets
  • Support additional programs (e.g., EV rebates, energy efficiency pilots, renewable enrollments) during lower‐volume periods
  • Gather, analyze, and translate information into clear and accurate formats
  • Assist with scheduling, documentation, reporting, and project coordination activities
  • Update project plans and support data validation efforts
  • Help prepare status reports and presentations
  • Contribute to process improvements and efficiency initiatives

Required Qualifications

  • 1–3 years of experience in:
    • High‐volume operational processing
    • Program administration or shared‐queue environments
  • Strong attention to detail and commitment to accuracy
  • Experience validating data, eligibility, or compliance‐driven information
  • Prior experience working in a large corporate or cross‐functional environment
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office (Excel, Word, Outlook)
  • Ability to prioritize work, meet deadlines, and manage quotas
  • Self‐motivated with a strong work ethic, especially in a remote setting

Preferred Qualifications

  • Experience with Salesforce
  • Excel proficiency beyond basics
  • Familiarity with PDFs, scanning, and document conversion
  • Exposure to utility, rebate, or other regulated program environments
  • Process‐improvement mindset
  • Interest in energy efficiency, sustainability, or utility programs
