Customer Service Administrative Assistant

We are seeking a dedicated and organized Customer Service Administrative Assistant to join our local team. You will provide administrative and operational support to the Service Department. This includes preparing quotations and order confirmations, coordinating service visits, handling customer inquiries, processing invoices, and ensuring the accurate and timely completion of service- and sales-related administrative tasks.

Key Responsibilities:

Service Coordination:

  • Plan and organize service and maintenance visits for technicians. Monitor and approve service engineers' working hours, holidays, and absences in IQ and Numbers. Prepare all necessary documentation and job orders in the internal system (IQ).
  • Validate and process invoices from external companies related to service jobs. Create customer invoices following technician visits, ensuring all administrative steps are completed.
  • Check machine status remotely and assist customers with basic troubleshooting.

Order & Quotation Management:

  • Receive and process customer orders; enter and maintain accurate data in the system. Prepare and issue quotations, order confirmations, and invoices.
  • Create and manage shipping and export documentation. Coordinate transport arrangements with selected carriers within existing agreements.

Customer Support:

  • Respond to customer inquiries via phone and email in a professional, solution-oriented manner. Provide information on prices, product availability, and delivery times in coordination with the Planning and Purchasing teams.
  • Maintain positive relationships with international customers, dealers, and agents.

Profile:

  • MBO-level education in Administration, Business Support, or a related field, or equivalent professional experience.
  • Proven experience in a customer-focused administrative role, such as sales assistant, customer service assistant, or similar.
  • Some technical experience is appreciated. At minimum, a curiosity and interest in machinery or industrial equipment are required.
  • Proficient in Microsoft Office (Word, Excel, Outlook); experience with field service management software (e.g., IQ) is a plus.
  • Fluent in Dutch; good command of English is required; German is an asset.
