Project Coordinator III

Join our team as a Project Coordinator III! This position will be responsible for coordination of major Utility projects, to include, interfacing with utility managers regarding progress of contracted vendors performing contracted services. Assists, prepares and processes documents for the purchasing of goods and/or services. Advanced responsible administrative and technical work in reviewing contracts to ensure contract compliance, project tracking, project coordination, invoice tracking, processing, and reconciliation.

Coordinates and monitors the activities of vendor(s) performing various services in accordance with contract guidelines, industry standards and/or state regulations. Documents work performed, inspects contractor documents for accuracy, conformance and timeliness. Tracks Contractor issues and intervenes for Operations staff. Examines bid specifications for areas of improvement. Reconciles/approves invoices and receipts for accuracy and allocates the appropriate G/L account. Compiles supporting documentation for agenda items to be approved by the Board of County Commissioners. Tracks agenda workflow and process all the necessary phases to initiate the use of the contract. Creates and maintains paper and electronic files, to include, data entry into multiple software programs. Participates in process improvement initiatives. Assembles cost analysis and managerial reports. Coordinates the submittal of bid specifications on behalf of the department's users for a variety of commodities and services; reviews and evaluates vendors' bids and proposals to determine compliance with stated specifications, conditions and budget; recommend purchases in accordance with established procedures, recommending vendors proposed rates and conditions most favorable to the interest of the Department. Prepares and conducts new Contractor kick-off meetings. Conducts contractor meetings to resolve questions/disputes between Operations staff as well as for Purchasing staff. Plans, assigns, and functions as lead worker of Project Coordinator I & II, for assistance, guidance, and non-supervisory functions. Monitors and coordinates work for Capital Improvement Projects associated with assigned contracts. Assists staff with project submittal documentation. Performs related work as required.

Knowledge of business English, spelling, and punctuation. Strong communication and reading comprehension skills. Knowledge of modern techniques and practices used for procuring and monitoring contracted service Contractors. Knowledge of office practices, procedures, principles of organization and administration. Knowledge of accounting methodology. Ability to email, compose letters and memoranda. Ability to make decisions in accordance with the departmental rules, contracts, regulations, and policies. Ability to establish and maintain effective working relationships with employees, Utilities management, and vendors. Knowledge of Utility systems components, operations protocol, and invoice reconciliation. Ability to establish and maintain effective working relationships with coworkers, contractors, and regulatory authorities. Ability to operate a computer, a working knowledge of Windows based programs, Outlook, Microsoft Office Word, Excel, Access, and Tyler Munis.

Physical Skills: Ability to communicate effectively using verbal, written and visual communication. Education, Training and Experience: Associate degree from an accredited college or university and four (4) years' of project coordination/management experience OR graduation from high school or possession of an acceptable equivalency diploma and six (6) years' experience. Experience with contract documents and follow up requirements preferred. In House Candidates: This position qualifies for DAP.
