Job Title: Clerk of Court

Reports to the Chief Deputy Clerk, Clerk of Court and Judge. Provides exceptional customer service, financial receipting, data entry and record keeping for the public and attorneys who have business to conduct with the Fairfield Municipal Court.

HOURS: Flexible, Monday through Friday; 7:30 a.m. – 4:30 p.m.

Examples of Duties

Provide exceptional customer service in-person at the Clerk of Court counter, through email or over the telephone; determine and collect any costs or fees required; receipt and balance collected monies; and respond to customer inquiries.

Maintain professionalism and confidentiality. Candidates must possess honesty and integrity of the highest standard and be able to learn quickly.

Docket information from court filings in an accurate and timely manner; enter information in the court's case management system; issue appropriate notices; filing and other office duties.

Processes accurate and presentable correspondence, documents, reports, records and forms utilizing various office equipment such as computers, scanners, fax machines, copiers, etc.

Prepare and coordinate service processing for summonses, subpoenas and the like; arrange for service based on standard procedures (certified mail, regular mail, etc.); update the status in the case management system; and process failure of service attempts.

Scan documents into the case file database and verify the accuracy of the scanned document, make appropriate corrections, and inform the supervisor of potential problems.

Assist colleagues when necessary, due to scheduling, volume, or staffing requirements.

Attend meetings and trainings determined to be beneficial as directed by the Clerk of Court.

Understand the court's responsibilities, functions, organizational structure and purpose.

Able to communicate and work well with others.

Performs all other duties as assigned by the Judge, Clerk of Court and/or Chief Deputy Clerk.

Typical Qualifications

The ideal candidate, at a minimum, must possess a high school diploma or equivalent; must be eager to learn, committed to excellence, team oriented, effectively manage time and tasks, detailed oriented and:

Able to use basic mathematics to collect money and record money transactions.

Navigate and utilize technology and word processing to enter and manage case data in the Court's case management system.

Skilled in providing optimal customer service.

Ability to utilize google translate to communicate with non-English speaking individuals.

Keyboarding skills to quickly and accurately enter, access, update and manipulate data.

Ability to become proficient in job tasks within the first ninety (90) day probationary period.

Able to handle heavy workloads, meet deadlines and handle stressful and sensitive situations.

Regular and predictable on-site attendance is required.

Supplemental Information

The position's primary work environment entails serving the public in person and over the telephone. These individuals may be agitated, stressed, impolite, unreasonable, or even belligerent; yet, the Court expects its employees to consistently provide prompt, courteous customer service in return. The job can entail long periods of repetitive tasks which requires self-discipline to complete. In addition, the performance of the job duties may entail standing for long periods of time or using the aid of a counter stool. To be successful in this position, an individual must be able to work effectively throughout these changing dynamics and demands.

The person selected will undergo a background investigation, fingerprinting and reference checks. The Court requires yearly certification for the Criminal Justice Information Services Security and Privacy Training. The employee may be selected by Human Resources for random drug testing. The person(s) employed under this job classification serves solely at the pleasure of the Judge. "AT WILL" positions can be terminated or modified without cause with no recourse, totally upon the discretion of the Judge and/or her designees.
