Administrative Support Analyst

We are seeking an experienced, professional Administrative Support Analyst to support a DoW organization. A successful candidate needs to be a high-energy, well-organized, detail-oriented, forward-thinking analyst and planner with executive-level experience, familiarity with DoW CIO Resources & Analysis (RA) and a Chief Staff role, and the ability to function independently and as part of a team.

Primary responsibilities include, but are not limited to, the following:

  • Manage multiple projects simultaneously, effectively, and efficiently.
  • Serve as POC for stakeholder requests and other communications regarding projects and taskers.
  • Support the correspondence management process to include all aspects of mail operations and electronic workflow tools (e.g., Correspondence and Task Management System (CATMS)).
  • Draft plans, reports, presentations, directives, correspondence, and other documents.
  • Provide communication support in the areas of web management blog, SharePoint collaboration services, facsimile transmissions, and other types of document-sharing systems, as well as maintaining organizational charts and directories; familiarity with Defense Collaboration Services (DCS) and OSD voice and video conferencing equipment is required.
  • Support the requisition, purchase, storage, and insurance of office supplies; manage administrative property; safeguard and secure classified materials and information; maintain and execute security plans; and monitor all aspects of the security program.
  • Support the management of forms and related guidelines, which include printing, publication, procurement, physical and electronic distribution, and maintenance of stock levels.
  • Recommend and support the implementation of information management methods.
  • Evaluate, recommend, provide, and facilitate administrative, business, and office management support tools, methods, and processes, and perform implementation, facilitation, and training activities associated with change management execution.
  • Support the development and installation of physical and electronic filing systems, as well as maintain, transfer, and dispose of records.
  • Support the planning, scheduling, and facilitation of on-site training requirements, as well as processing training requests for all off-site training.
  • Support the preparation of reviews, briefings (including preparing and revising briefing slides), and presentations to senior department leadership and interdepartmental committees, as well as other government and non-government officials.
  • Provide quick reaction support to include associated papers, briefings, and slides.
  • Provide travel and transportation support and related services in the areas of planning and scheduling foreign and domestic travel itineraries, booking reservations, obtaining tickets, and arranging for government or commercial transportation using the Defense Travel System (DTS). When necessary for foreign travel, transmit country clearances using the DoD Foreign Clearance Guide and Aircraft and Personnel Automated Clearance System (APACS).
  • Support senior executive and directorate-level calendar management and ensure that background/read-ahead materials are prepared in support of upcoming meetings and activities. Such assistance will also include providing routine security and administrative support, such as access control to DoD CIO classified spaces, greeting office visitors, according to priority.
  • Support the preparation of executive correspondence to include creating official documents, proofreading executive correspondence, publications, and memoranda (for conformance, clarity, duplication, or conflict), electronic and hard copy data storage and monitoring, printing, and tracking taskers.
  • Coordinate secure video teleconference (VTC) meetings.

Required skills:

  • Proficient with Correspondence and Task Management System (CATMS) or similar tool.
  • Solid knowledge of MS Office suite, especially with Excel, Word, PowerPoint, and Outlook.
  • Solid experience with Agility with task management, coordination, and execution.
  • Must be operationally oriented and able to multitask/prioritize work in a high-volume environment.
  • Team player with a positive and professional demeanor, strong customer service awareness, and excellent organizational skills.
  • Excellent analytical and follow-up skills.
  • Ability to multitask and execute directives effectively and with little supervision.
  • Exceptional communications, staffing, and decision-making skills.
  • Ability to share information and guide activities productively.
  • Superior presentation skills.
  • Experience with interacting with Government officials and senior military personnel.
  • Exceptional writing and verbal communication skills.
  • Confident and self-motivated with a positive can-do attitude.

Basic qualifications:

  • Requires a BS degree and over 10 years of prior relevant experience. Additional years of experience may be substituted in lieu of degree.
  • 10+ years of relevant DoW, operations, and business experience.
  • Active DoW Top Secret-SCI clearance, candidates without the clearance will not be considered.
  • PMP certification is desired.
  • Proficient with Correspondence and Task Management System (CATMS).
  • Solid knowledge of MS Office suite, especially with Excel, Word, PowerPoint, and Outlook.
  • Excellent communication skills, verbal and written.
  • Ability to work effectively both independently and within a team environment.
  • Highly reliable and dependable.
  • Experience managing projects of large size and complexity.
