Customer Service Receptionist

The City of Katy is seeking a friendly, organized Customer Service Receptionist to assist residents in person and by phone, process utility payments, and perform clerical duties such as data entry and cash handling. Provides customer service both in person and over the phone. Performs various clerical tasks to include filing, data entry, and cash handling.

Essential duties and responsibilities may include, but are not limited to, the following:

  • Answers incoming phone calls for the city's main phone line; transfers calls as appropriate, greets and directs guests and provides general customer service.
  • Collects and posts daily water payments; balances and maintains cash drawer; may prepare daily deposit slip
  • Oversees customer water accounts; assist customers with inquiries regarding billing, consumption, garbage and recycling issues; process applications for new service; process disconnect requests and billing address changes; maintains accurate records and scans and enters documents into records system; maintains customer confidentiality.
  • Generates service orders for the Water Department to manually check readings; may review service orders for malfunctioning and leaking meters and respond to customers.
  • Communicates with garbage and recycling contractors for new customers, replacement carts, or missed services.
  • Under the direction of the Utility Billing Supervisor, may: enter new/replacement meter information on accounts; prepare and mail delinquent bills; prepare monthly customer deposit refund checks on closed accounts with credit balances; print late notices for customers with past due accounts; initiate cut-off process for accounts with delinquent balances including translating and sending automated phone reminders; update customer accounts with bank drafting information and download files to the City's bank; prepare monthly bills for e-bills, printing and mailing.
  • Signs for and accepts packages; sorts and distributes mail; prepares outgoing mail for pick up.
  • Orders office supplies; may notarize documents.
  • For purposes of business continuity, employees in this position are considered Essential Critical Infrastructure Workers, as defined by the Cybersecurity & Infrastructure Security Agency (CISA).
  • Performs other duties as required.

Minimum Qualifications: Education, Training and Experience Guidelines: High school diploma or equivalent; Two (2) years of customer service or clerical experience preferred; OR an equivalent combination of education, training, and experience. Bi-lingual in Spanish, preferred. Knowledge of: Department policies and procedures. Data entry procedures. Basic bookkeeping methods, practices, and procedures. Skill in: Establishing and maintaining effective working relationships. Communicating clearly, both orally and in writing. Operating standard office equipment. Managing and balancing a cash drawer. License and Certification Requirements: A valid State Driver's License may be required. Physical Demands and Working Environment: Work is performed in a standard office environment.
