Front Desk Administrative Assistant/Customer Service

Pay rate: $20/HR Monday to Friday - 40 hours per week

Role Overview

As a Front Desk Administrative Assistant, you will serve as a Customer Service Representative, supporting clients in a print production environment. The ideal candidate will possess strong communication skills and a commitment to excellent customer service, coordinating and processing customer orders across multiple channels (mail, email, fax, phone, and walk-in).

Key Responsibilities

  • Provide information regarding products, processes, and production turnaround times
  • Process work orders received in-person, electronically, or by hard copy
  • Promote additional services and merchandise to current/past customers
  • Inform customers on unit prices, shipping dates, delays, and required information
  • Deliver friendly, enthusiastic customer experiences
  • Prepare estimates and invoices, and oversee logistics with dispatch
  • Enter jobs into computer system and initiate billing
  • Review hard-copy documents for completeness and quality
  • Communicate with customers to resolve order questions
  • Ensure customer instructions are complete and clear
  • Note and advise management of order-related issues
  • Consult with production staff on costs and deadlines; communicate updates to customers
  • Route materials to appropriate production areas
  • Troubleshoot and resolve digital order issues
  • Provide regular job status updates to customers
  • Coordinate order delivery, resolve shipping issues, and expedite as needed
  • Support other departments and complete additional tasks as assigned

Required Skills & Qualifications

  • High school diploma or equivalent
  • Reliable daily attendance and punctuality
  • Experience in print production environment preferred
  • Willingness to participate in training
  • Ability to promote company products and services
  • Capable of performing all essential job tasks
  • Strong competency and ability to learn required software (e.g., MFG)
  • Clear, effective communication with team and customers
  • Knowledge of the printing industry (AEC, bindery, finishing) is a plus
  • Ability to track orders and keep customers informed
  • Competence in providing accurate cost estimates
  • Comfortable handling multiple tasks and working in a fast-paced environment
  • Ability to work independently with minimal supervision
