Project Coordinator in Bristol, CT

Take the next step in your professional development. The Project Coordinator position is responsible for processing orders for merchandise received by mail, telephone, fax, email, or in person from customers or company employees. The role reports to the Project Manager and is a nonexempt position.

Responsibilities

  • Review orders received for price and quantity accuracy.
  • Communicate frequently with Sales Representatives to understand customer expectations.
  • Enter orders into SAP promptly and maintain all project information and documentation for all quotes and purchase orders processed.
  • Compute costs, sales representative commissions, applicable taxes, and shipping charges.
  • Inform customers of updated unit costs, shipping dates, anticipated delays, and any additional necessary information.
  • Ensure all paperwork is accurate and sent to and received from the customer, following up as necessary.
  • Print order documents and forward them to the Customer Service Manager for review.
  • Confirm material is allocated or ordered and follow up with the Procurement Manager regarding material arrival dates.
  • Prepare all production documents and insert them into specific notebooks for the Production Coordinator.
  • Follow up on orders sent to production to ensure delivery by specified dates.
  • Check shipping orders for accuracy regarding quantity shipped and updated freight costs.
  • Specify special labeling or packaging requirements for shipment and communicate these to the production and shipping departments.
  • Prepare documents including customized reports, KPIs, and correspondence, and update various databases as required.
  • Record customer complaints and collaborate with the Customer Service Manager to improve the customer experience.
  • Work collaboratively with all internal resources to ensure the highest levels of customer satisfaction.
  • Confer with production, shipping, warehouse, or carrier personnel to expedite or trace missing or delayed shipments.
  • Learn customer processes and tools to support customer requirements and answer customer inquiries.
  • Maintain the customer name and address database, ensuring all contact information is updated and correct in SAP.
  • Follow up with customers regarding projects in the backlog weekly or monthly based on customer material requirement dates.
  • Create Sample Requests and ensure timely shipment.
  • Create shipping documents for carriers, whether at a cost to the customer or as a no-charge replacement.
  • Perform other duties as assigned.

Essential Skills

  • 3+ years of administration or coordination experience.
  • Proficiency in Microsoft Office applications and Outlook.
  • Strong organizational skills and attention to detail.
  • Excellent oral and written communication proficiency.
  • Experience with SAP or other equivalent ERP software.
  • Strong interpersonal skills and flexibility.
  • Ability to stay focused and not make errors despite constant interruptions.

Additional Skills & Qualifications

  • Experience in project coordination, construction administration, document control, customer service, invoicing, and purchase orders.
  • High school diploma or GED, or one to three years of related experience and/or training, or equivalent combination of education and experience.
  • Ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.
  • Capability to sit or stand as needed, with potential walking primarily on a level surface for periods of time.

Work Environment

The office is newly renovated with a sleek and contemporary design. Project Coordinators work at large L-shaped desks within a team of four, enjoying spacious work areas. The manufacturing warehouse is attached to the building, requiring occasional visits to the floor with safety glasses to discuss order timelines and specifications. The work environment is pleasant and drama-free, with strong tenure and multiple locations in Florida and California.

Job Type & Location

This is a Contract to Hire position based out of Bristol, Connecticut.

The pay range for this position is $20.00 - $29.00/hr.
