Project Coordinator, IWMS Software Implementation

Project Coordinator, IWMS Software Implementation will guide customers through the implementation process and provide critical support to the PMO (Project Management Office) and internal teams to help ensure projects are delivered on time, within budget, and to the customer's satisfaction.

We are seeking a highly organized and detail-oriented Project Coordinator to join our team. This is an excellent entry-level opportunity for a motivated individual to launch a career in software implementation and project management. In this role, you'll work directly with our higher education customers to implement our Integrated Workplace Management System (IWMS) software. This software helps universities and colleges manage various aspects of their operations, including space management, capital planning, project management, and maintenance (CMMS). You'll be responsible for guiding customers through the implementation process and provide critical support to the PMO (Project Management Office) and internal teams to help ensure projects are delivered on time, within budget, and to the customer's satisfaction. Roles and Responsibilities

  • Administrative Support: Assist the PMO with all administrative tasks, including scheduling meetings, preparing agendas, and taking meeting minutes.
  • Documentation Management: Organize and maintain all project documentation, including project plans, reports, and client correspondence, ensuring they are accurate and accessible.
  • Communication and Coordination: Serve as a central point of contact for internal and external stakeholders, helping to facilitate communication between project managers, technical teams, and customers.
  • Project Tracking: Assist in tracking project progress, monitoring key milestones, and updating project management software (e.g., Jira, Asana, or a similar tool).
  • Project Execution: Manage project plans with the PMO, including scope, timeline, and resource allocation, for multiple simultaneous software implementation projects.
  • Reporting: Help compile regular status reports and other project updates for the project manager and internal stakeholders.
  • Issue Identification: Proactively identify and escalate potential project issues or risks to the project manager.
  • Training and Handoff: Facilitate the transition from implementation to ongoing support, including coordinating customer training sessions.

Job Requirements and Skills

  • Education: Associates degree preferred, or an equivalent combination of education and experience. A degree in Business, Communications, or a related field is a plus.
  • Experience: 6 months to 2 years of experience in an administrative or professional environment. Experience in a project-based role or internship is highly required.
