Project Coordinator

Job Description
Purpose of the Position
The Project Coordinator will be responsible for coordinating and supporting the implementation of this pilot initiative and research project led by Amref Ethiopia in partnership with Dalberg, Kidame Mart, and Kefeta SACCO. The role ensures effective collaboration within Amref and among partners, the overall management of project execution, operations, partnership, and communications. The Coordinator is also responsible for the development of detail work plan, smooth implementation of project activities, monitoring of progress, and timely reporting to donor and government stakeholders. The Coordinator will serve as the program, operational and communication bridge among partners and key stakeholders, ensuring the project meets its objectives and aligns with Amref, the Ministry of Health (MOH) and donor (Gates Foundation) priorities.
Key Responsibilities
A. Project Coordination & Partnership Management
- Serve as the focal point for day-to-day coordination among Amref, Dalberg, Kidame Mart, and Kefeta SACCO.
- Organize and facilitate regular coordination meetings, ensuring follow-up on action points and cross-partner collaboration.
- Maintain clear communication lines with the MOH, Gates Foundation representatives, and other relevant stakeholders.
- Support Amref in ensuring project implementation is on schedule and in line with partnership agreements.
- Document key decisions, lessons, and progress updates to inform adaptive project management.
B. Technical & Operational Support
- Coordinate the development of detail work plan with clear deliverables, timeline and roles and responsibilities.
- Coordinate planning and executing community and market needs assessments in collaboration with Kidame Mart and Dalberg.
- Coordinate and oversee field activities across pilot sites, ensuring effective planning, logistics, and partner participation.
- Supervise and provide on-site support to consultants, enumerators, and SACCO or community-based teams during data collection, co-design sessions, and validation workshops.
- Ensure all field activities are implemented safely, inclusively, and with gender-sensitive and ethical standards.
- Support organization and facilitation of Human-Centered Design (HCD) workshops with Dalberg and SACCO.
- Contribute to the co-design of financial and business products, ensuring alignment with community and women's needs.
- Provide coordination support during pilot implementation and validation, ensuring smooth logistics, data collection, and field supervision.
- Support partners in developing the implementation roadmap, documenting results, and synthesizing learnings.
C. Monitoring, Reporting, and Knowledge Management
- Track implementation progress against work plans and performance indicators.
- Compile partner inputs for monthly, and quarterly reports.
- Work with the Program Lead and Data and Analytics Team in Amref to coordinate data capturing, data analytics and visualization among partners.
- Work with the Knowledge Management and CLA team to coordinate monitoring of pilot results (income, repayment rates, community acceptance, etc.).
- Support scheduling, documentation, and follow-up on all project events, including co-design workshops, data collection missions, and learning forums.
- In collaboration with Amref's Knowledge Management and Learning team, facilitate learning sessions and ensure that project insights are captured and shared across partners and with external stakeholders.
- Maintain an organized repository of project documentation (MoUs, meeting minutes, progress reports, workshop proceedings).
D. Stakeholder Engagement & Representation
- Coordinate with the Program Lead to liaise between Amref, local government offices, community groups, and other relevant entities to ensure alignment and local ownership.
- Coordinate organization of workshops, consultative meetings, field visits, learning events, and partner showcases.
- Represent the project in coordination forums as delegated by Amref Program Lead.
- Maintain strong relationships with local government officials, health offices, and community leaders to ensure buy-in and smooth execution of fieldwork.
E. Financial and Administrative Coordination
- Work with Amref's operation team for facilitation of administrative and logistical requirements of project implementation - workshops, trainings, community consultations, field missions, and procurement of supplies and services.
- Support the development of activity budgets, ensure compliance with financial and procurement procedures, and track expenditures.
- Coordinate logistical arrangements for assessments, trainings, workshops, consultative meetings, and field missions.
- Assist in preparing financial and technical documentation required by Amref, donor, and government offices.
Key Deliverables
- Updated and harmonized project work plan across partners.
- Timely and accurate progress reports (monthly/quarterly).
- Documented assessment and process-oriented reports
- Well-coordinated partner meetings/workshops with action tracking.
- Documentation of pilot implementation results and lessons learned.
- Documented tailored financial products and business models
- Updated project monitoring dashboard.
- Inputs to final implementation roadmap and scale-up plan.
Reporting and Supervision
The Project Coordinator reports directly to Amref Project Manager/Program Lead and works closely with the technical leads from Dalberg, Kidame Mart, and Kefeta SACCO.
Duration and Level of Effort
This is a fixed-term contract aligned with the project implementation period (9 months). The position involves up to 30% field travel to pilot sites and partner offices.
Qualifications
Education
- Bachelor's degree in Public Health, Development Economics, Development Studies, Business Administration, or related field.
- Master's degree is an added advantage.
Experience
- Minimum 8 years of relevant experience in project coordination or partnership management in the NGO or development sector.
- Experience working with multi-stakeholder projects involving government, private sector, and community actors.
- Proven experience supporting livelihoods, financial inclusion, or health systems strengthening initiatives.
- Proven knowledge and understanding of the primary health care system.
- Experience in private sector engagement and social and business enterprise models.
- Experience coordinating donor-funded projects.
Competencies and Skills
- Strong coordination, facilitation, and communication skills.
- Excellent organizational and time management abilities.
- Knowledge of Human-Centered Design (HCD) and participatory approaches.
- Understanding of SACCO models, community health systems, and social enterprise development.
- Proficiency in MS Office, visualization, analysis and virtual collaboration tools.
- Fluency in English (written and spoken); other local languages an asset.
