Project Administrator
UIC Municipal Services is seeking a Project Administrator to provide project management support and perform administrative duties in direct collaboration with the Project Manager for the North Slope water and sewer operations, maintenance, and training project. Essential functions will include:
- Assist the Project Manager with day-to-day project management and contractual reporting to the North Slope Borough.
- Read and interpret project contracts and prepare report formats as required by the contract.
- Support project scheduling efforts, including familiarity with MS Project.
- Attend weekly progress meetings; prepare agendas and meeting minutes as needed.
- Track and code receipts to properly document project-related purchases; communicate purchase updates to the Borough.
- Maintain both electronic and hard copy project files, ensuring accurate and organized recordkeeping.
- Assist with reviewing and finalizing work plans.
- Create Excel, Word, or PDF documents to support tracking, reporting, and documentation needs.
- Support the PM in tracking staff time for field employees.
- Assist with invoice review and issuance as required.
- Coordinate project logistics, including small project tasks and activities.
- Handle requests for information and data, resolving administrative issues or inquiries.
- Ensure adherence to safe work practices.
- Perform other duties as assigned.

- Proficiency with a wide range of software applications and strong internet research skills.
- Strong planning, organizing, and workload prioritization abilities.
- Capacity to work methodically, independently, and as part of a team.
- Ability to manage high workloads during peak periods and maintain performance under high-stress conditions.
- Skill in reading, interpreting, and applying project contract requirements, ensuring deliverables are provided in the required format and on schedule.
Qualifications:
- Minimum Qualifications:
- Two years of college coursework or equivalent experience.
- At least two years of administrative experience in government contracting.
- Proficiency in Microsoft Office Suite.
- Familiarity with the preparation and review of project work plans.
- Ability to multi-task, stay organized, and adapt to changing priorities in a fast-paced environment.
- Strong verbal and written communication skills.
- Employee must have a valid driver's license and three (3) year clean driving record.
- All employees must pass Non-DOT pre-employment drug screening.
- Physical and Mental Demands:
- Operation of motor vehicles.
- Rapid mental and muscle coordination.
- Walking, standing, twisting, and turning of the upper body and legs.
- Crawling, kneeling, and stooping.
- Safe distance vision and hearing.
- Use of required PPE, including hard hat, safety glasses, and safety footwear.
- Lifting, pulling, pushing, and carrying weights ranging from 5 lbs. to 100 lbs.
- Working Conditions:
- Outdoor work in various weather conditions.
- Exposure to excessive cold.
- High noise levels.
- Walking on slippery or uneven surfaces.
- Working on and around hazardous machinery.
- Cramped and confined spaces.
- Remote work sites.
- Long and irregular hours.
- Frequent use of stairs.
