About Our Client:
Addison Group is partnering with our client to hire a Customer Service Representative who will support distributor relationships, order processing, and internal sales operations. This role is ideal for someone who enjoys coordinating logistics, managing administrative processes, and communicating with multiple stakeholders to ensure orders and requests are handled accurately and efficiently.
Job Description:
The Customer Service Representative plays a key role in supporting distributor orders, coordinating product samples for the sales team, and assisting with rebate and pricing documentation. This position requires strong attention to detail, excellent communication skills, and the ability to manage multiple administrative processes while maintaining accuracy and organization.
The CSR will work closely with sales representatives, manufacturers, distributors, and internal teams to ensure requests are processed in a timely manner and that documentation and records remain up to date.
Key Responsibilities:
- Process and manage distributor orders, confirmations, and invoices while ensuring accuracy
- Communicate order updates, timelines, and confirmations with distributors, manufacturers, and internal teams
- Monitor order status, resolve discrepancies, and assist with invoice and receivable reconciliation
- Coordinate product sample requests for the sales team and confirm product availability before placing orders
- Maintain records of approvals, billing references, and required documentation
- Track shipments, communicate delivery timelines, document incoming deliveries, and manage inventory for sample and point-of-sale materials
- Compile rebate data from distributor partners and prepare documentation for processing
- Submit rebate authorization requests to manufacturer partners and monitor approval status
- Prepare and submit rebate payment requests and follow up to ensure timely reimbursement
- Maintain organized records and provide updates on rebate activity to internal teams
Qualifications:
- High school diploma required; food service industry experience highly preferred
- Previous experience in customer service, administrative support, order processing, or sales support preferred
- Strong written and verbal communication skills with the ability to interact professionally with customers and colleagues
- Proficiency with Microsoft Office, including Excel, Word, and Outlook
- Comfortable learning new internal or industry-specific software systems
- Strong attention to detail with solid organizational and time management skills
- Ability to prioritize tasks and manage multiple responsibilities simultaneously
- Basic math aptitude and accuracy when working with invoices or financial data
