Client Services Coordinator
Addison Group is partnering with our client, a leading professional services organization in New York City, to identify a polished and detail-oriented Client Services Coordinator. This role plays a key part in supporting daily operations, ensuring seamless client and guest experiences, and managing conference and event logistics within a busy office environment.
Job Description: The Client Services Coordinator will act as the primary point of contact for internal and external guests, managing meetings, events, and office hospitality needs. This role requires exceptional organization, communication, and multitasking skills to maintain a high level of professionalism and client satisfaction.
Key Responsibilities:
- Greet and assist visitors, clients, and staff with professionalism and hospitality.
- Schedule, organize, and manage conference room bookings, ensuring all setup, catering, and A/V needs are handled efficiently.
- Coordinate meetings, events, and receptions, including vendor communication, catering orders, and logistical timelines.
- Support firm-hosted and off-site events, including holiday functions, practice group dinners, and training sessions.
- Maintain accurate records of room usage, visitor office assignments, and special requests.
- Provide administrative support including scanning, printing, mail distribution, and assisting with presentation setup.
- Collaborate with facilities, catering, and IT departments to ensure all meetings run smoothly.
- Proactively monitor conference room readiness, appearance, and functionality.
- Assist with last-minute or mid-meeting requests in a fast-paced environment.
- Uphold security and confidentiality standards when managing guest information.
Qualifications:
- 2+ years of experience in administrative, hospitality, or client service support, preferably in a professional or legal setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent verbal and written communication skills.
- High attention to detail and a polished, professional demeanor.
- Associate degree required; bachelor's degree preferred.
Additional Details:
- Schedule: Monday–Friday, 10:00 AM – 6:00 PM (on-site)
- Hours per Week: 40
- Eligible for Overtime: As needed
