Procurement Coordinator
We are seeking a dedicated and detail-oriented Procurement Coordinator to join our team. This role involves managing the procurement process for various projects, ensuring timely delivery of materials, and working closely with project managers and vendors to maintain project schedules and budgets.
Responsibilities
- Purchase materials for projects and ensure timely delivery.
- Obtain quotes from vendors and collaborate with project managers for pricing.
- Manage procurement of all materials for assigned projects.
- Handle billing and material-related tasks.
- Review project scope with project managers to ensure accuracy.
- Work with vendors to order materials according to the schedule, ensuring on-time delivery.
- Review budget and orders to ensure alignment with procurement details.
- Set up projects in the business system based on sales to operations transition documents.
- Assist in initiating and tracking contract projects to ensure compliance and successful completion.
- Prepare invoices for billing and necessary documentation.
- Support engineering specialists and project managers with submittals and operation/maintenance manuals.
- Assist project managers with project forecasting.
- Process and validate invoices according to project contract documentation.
- Gather and record information for process compliance monitoring.
- Initiate and track contracting business unit claims.
- Initiate documents for purchase orders, subcontracts, and change orders.
- Comprehend customer contracts to determine project-specific documentation needs.
- Assist project managers with project cost at completion forecasts.
- Coordinate with customers on contract documentation including tax documents and purchase orders.
- Communicate effectively with team members regarding problems, obstacles, and information needs.
- Meet the needs of internal and external customers efficiently.
- Coordinate with staff for accurate and timely recording of project costs, including timesheets and daily reports.
Essential Skills
- 1+ year experience in the Architecture/Engineering/Construction or manufacturing industry.
- 1+ year experience in procurement, buying, or purchasing.
- Proficient in Excel.
- Experience working with project managers and outside vendors.
- Ability to work in a fast-paced environment and manage multiple projects simultaneously.
Additional Skills & Qualifications
- Experience with procurement processes, quotes, RFQs, budgeting, and email communication.
- Familiarity with construction or manufacturing environments.
Work Environment
The position is 100% in-office with a schedule of 8 AM to 5 PM. The work environment is very casual and fun, with a team-oriented culture. You will be working alongside two other coordinators, with a total of 22-25 staff members locally. The company values teamwork and provides paid benefits for employees.

This is a Permanent position based out of Paola, Kansas.
Pay and Benefits
The pay range for this position is $50000.00 - $60000.00/yr. holidays, vacation, and personal days. health, dental, vision, and life insurance. simple IRA
